Suggested order of events.
Winter wedding generally starts at 14h00 since it gets darker sooner in winter and summer weddings generally starts at 15h00.
Indoor or outdoor wedding ceremony – normally 30 to 45 minutes
Prelude music (30 minutes) before the ceremony starts

Pre-drinks – normally 1 to 2 hours
This is normally where the Bride and Groom and bridal party goes for their creative photo shoot with the photographer and the guests remains for mimosa and canapes, games, photobooth etc. The DJ will be playing upbeat music during the pre-drinks session.
Make sure your eMCee is well groomed, organized and a confidant speaker and know what is expected of them viz. Welcoming guests, logistics e.g. Bar (Cash or non-cash bar, location of the toilets, cellphones during speeches, signing of the placement of canapes and mimosas etc., wedding register and wedding favours, wedding games, photobooth, order of events viz, speeches, announcements, blessings, dinner, dessert, dance and other special ceremonies, cake cutting, sparkler lighting event, last dance, last round, constant liaison with wedding vendors etc.
Reception
Guests enter the reception normally 15 minutes and are seated before the Bride and Groom arrives back from their photoshoot

DJ Kev Entertainment – Terms and Conditions
DJ Kev Entertainment strives to provide a Professional, Reliable, Trusted and Diverse DJ service. We love to create magical moments to last a lifetime through music.
To safeguard both our interest in making the event a success we have the following terms and conditions that you need to agree to before you hire us.
The service agreement
- The service agreement is made between the service provider DJ Kev Entertainment (DJKE) and Client/s (C’s).
- Now therefore, in consideration of the promises and the agreements herein contained and intending to be legally bound hereby, both Parties agree to the following terms and conditions.
Service agreement
- Client/s (C’s) agrees that the service provider, will provide DJ services (DJs) as per the signed contract. C’s agrees to pay the 50% deposit fee via EFT 1 to 2 days after accepting the invoice.
- DJ Kev Entertainment (DJKE) reserves the right not to accept the C’s booking without a signed invoice, terms and conditions and proof of 50% payment.
- DJ shall consist primarily of providing musical entertainment by means of a recorded music format.
- DJKE also reserves the right to play their own selection of music without a completed and received questionnaire or any additional information from the C’s.
- DJKE hereby agrees to render their DJs and will be in complete control of their service.
Payment and related costs
The Client/s (C’s) in consideration of the DJ service (DJs) to be rendered by the DJ Kev Entertainment (DJKE), and the mutual promises contained herein, hereby agrees to pay DJKE the following consideration: –
A non-refundable booking fee of 20% shall become payable by the C’s which will be deducted from the 50% deposit paid to cover the booking and associated costs.
The non-refundable booking fee covers but not limited to the following: –
- Reserving and booking your event date and times.
- Placing your event on our web event calendar.
- Communication costs e.g., e-mails, messages, and phone, virtual calls.
- Administrative costs e.g., compiling quotations, invoices, receipts, contracts, questionnaires, draft programme, timelines,
- Sourcing of songs for your music playlist for various elements of your event.
- Additional equipment and supplies hired or purchased if applicable for your event.
Deposit fee of 50% must be paid by the C’s to DJKE via EFT to secure their booking and proof of payment must be e-mailed to info@djkev.co.za.
Total performance fees must be paid by the C’s 5 days before the event via EFT and proof of payment must be e-mailed to DJKE.
Midnight rate fee will be applicable after midnight 24h00. The hourly rate must be paid in CASH to the DJKEV before 24h00. The C’s must make sure that your venue allows for additional hours after 24h00. Furthermore, DJKE will only perform till 02h00.
Later payments after the event for midnight and overtime will unfortunately not be considered. It may not always be possible to provide additional performance time and the midnight and overtime rates are at the discretion of DJKE and the venue management. NO cheques will be accepted as payment for the midnight or overtime performance.
Traveling and accommodation costs
Wedding packages covering your ceremony, pre-drinks and reception also includes round trip travelling up to 100km’s from our base to the venue and return. Thereafter we are charged AA rates viz. combination of tar/dirt/gravel roads per kilometer. Toll fees are charged based on the latest SANRAL cost structure.
Accommodation of at least 3 stars with bed and breakfast will be required at the venue if additional performance hours will be required after 24h00. In addition, this will also be applicable if the venue is more than 100 kilometers away from our base.
Should your venue be more than 3 hours’ drive away from our base then the DJ and his Assistant will require accommodation for two (2) nights, the night before the event and the night of your event.
The accommodation booking must be made and paid by Client/s and proof of such booking must be e-mailed to info@djkev.co.za before the event.
Meeting with Client/s
DJ Kev Entertainment (DJKE) prefers to meet with their Client/s (C’s) at least 2 weeks prior to the event. DJKE are available on Saturdays or Sundays from 11h00 to 17h00 and meets at coffee shops.
In addition, meetings held in (Central Howick, Merrivale, Hilton, Pietermaritzburg) are free of charge and will be limited to 1 meeting only.
However, should you wish to meet at a mutually agreed venue outside the areas mentioned above then a traveling fee will be added to your final invoice.
We can also conduct virtual meetings with C’s outside KZN province and the Republic of South Africa.
Venue arrangements by Client/s
DJ Kev Entertainment (DJKE) will need a dedicated set-up area for the DJ and his assistant for the following events which includes the following:
DJKE will need access 3 to 4 hours before the engagement for setup and 1 to 2 hours after the engagement for takedown.
DJKE will also need parking close to the various setup point and should parking and related fees are payable by Clients/s (C’s).
Wedding ceremonies
Indoor sound setup:1 x Small trestle table, 2 x chairs, tablecloth, dedicated plug point, adequate space for 1 to 2 tripod speaker stands and speaker/s depending on your package choice, space for microphone stand. We will also need your floor layout plan, programme, and timelines.
Outdoors sound set up (Garden, beach, forest if a plug points are available):1 x Small trestle table, 2 x chairs, tablecloth, dedicated plug point/s, adequate space for 1 to 2 tripod speaker stands and speaker/s depending on your package choice, space for microphone stand. We will also need your floor layout plan, programme, and timelines.
Outdoor sound set up (Garden, beach, forest if NO plug points are available): 1 x Small trestle table, 2 x chairs, tablecloth, adequate space for 1 tripod speaker stand, battery powered speaker space for microphone stand. We will also need your floor layout plan, programme, and timelines.
The battery powered speaker comes with a VHF microphone with a lifespan of 4 to 5 hours for beach, garden, forest ceremonies at an additional cost.
Pre-drinks sound set up: Dedicated plug point for powered speaker/s, adequate space for a tripod speaker stand and powered or battery powered speaker. This will be applicable if your pre-drinks are in a different location from the ceremony and reception site.
Reception sound, lights and effects set up:1 x Standard size trestle table, tablecloth, 2 chairs, adequate space for 2 x tripod speakers stands on each side of the trestle table including sub-woofers (if part of your package), tripod stand, dance floor lights in front of the trestle table or dance floor.
In addition, for effect machines (Smoke, Haze or Fog) and uplights we require at least two or more dedicated plug points. We will also need your floor layout plan, programme, and timelines.
NOTE: If you are going to have a Band or Singer/s at the ceremony, pre-drinks or reception please discuss their equipment needs with DJKE (if applicable) and the venue management.
There is an additional fee if we need to provide and set up equipment for the Band/Singer/s.
Planning your event layout
C’s to make sure that they do not put guests with hearing aids to close to the speakers.
If any of C’s guests have Asthma, DJKE recommends that you opt for the Haze effect machine provided the venue has adequate ventilation during the use of the machine. Alternately, do not request any Smoke, Fog or Haze effect machines as a precaution.
C’s also need ensure that your venue allows for the usage of the above effect machines before you book them.
If any of the C’s guests have Photo Sensitivity Epilepsy, the C’s must inform us. DJKE can provide different LED effect light packages.
Consider your other suppliers e.g., DJ and assistant, Photographer and assistant, Videographer, Officiate, Bands and Singer/s for all the formalities.
Meals and refreshments
The Client/s shall arrange meals and refreshments for DJ Kev and his assistant.
Photos taken before and during the event.
DJKE take non-professional photos and videos of the venue and event provided permission was granted based on your completed questionnaire. DJKE own the sole rights to these photos and will be used for promotional purposes on our Website, Facebook, Google, and Instagram etc.
The photos and videos can be placed on a USB at an extra cost as per our package cost.
Changes, cancelations, and refunds
DJ Kev Entertainment (DJKE), DJ package fees may be subject to change in agreement with both DJKE and Client/s (c’s) if any details of the booking are altered by the C’s such as the DJ equipment, event Timelines, and event Venue.
All changes to the booking must be arranged and agreed to by DJKE well in advance of the event.
Cancellation and refund policy
Should an event booking be cancelled, all cancellations must be done in writing and e-mailed to info@djkev.co.za by the client/s.
The following terms and conditions will be applicable in terms of our cancelation and refund policy: –
Cancellations within 6 months prior to the confirmed event date, a 20%cancellation fee of the total quoted amount will be applicable.
Cancellations within 5 months prior to the confirmed event date, a 30%cancellation fee of the total quoted amount will be applicable.
Cancellations within 4 months prior to the confirmed event date, a 40%cancellation fee of the total quoted amount will be applicable.
Cancellations within 3 months prior to the confirmed event date, a 50%cancellation fee of the total quoted amount will be applicable.
Cancellations within 2 months prior to the confirmed event date, a 75%cancellation fee of the total quoted amount will be applicable.
Cancellations within 1 months prior to the confirmed event date, a 100%cancellation fee of the total quoted amount will be applicable.
Cancellations
The Client/s (C’s) cancellation will only be confirmed once the C’s balance due has been settled. DJKE require proof of payment via e-mail of your account being settled.
Should you, the C’s booked a DJKE as your JD and the Photobooth LAB for their Photobooth service packages, a cancellation fee will be charged for BOTH services.
Dates and venues are not transferable and a new quotation and booking fee would be required to secure our services for a new venue or date.
Cancellations and postponements due to the Disaster Management Act (COVID-19 or future related pandemics)
Should the C’s wish to postpone their event to another date, such postponements must be done in writing and will be granted for up to 12 months. The 20% non-refundable booking fee is held for up to 12 months to reserve the C’s booking.
However, the C’s will be given the option of changing the date ONLY once, thereafter any changes in dates, venues and service packages requires the C’st to rebook and pay a revised booking fee.
DJKE reserve the right to increase the fees due to annual increases or due to requested changes in the C’s service package.
Should the C’s wish to cancel their event and not opt for a postponement, the C’s 20% non-refundable booking fee will be forfeited.
These clauses are only applicable as per the various lockdown levels as prescribed by the Disaster Management Act and subsequent regulations pertaining to social events and gatherings.
Disaster Management Act compliance (COVID-19 or future related pandemics)
DJ Kev Entertainment’s staff will be wearing mandatory face masks, comply with the social distancing, sanitize DJ area, equipment, microphones and stands before and during the event.
We will also comply in terms of signing an attendance register, temperature, health screening, sanitizing etc. at the venue.
NO guests will be allowed behind or closer than 1.5 meters from DJ booth, all song requests must be submitted preferably 2 to 4 weeks before the function.
In addition, should there be any travel curfews during your event then the DJ and his assistant will require accommodation as per clause 17 above.
These clauses are only applicable as per the various lockdown levels and the Disaster Management Act and subsequent regulations pertaining to social events and gatherings.
Accidents and “Acts of God”
DJ Kev Entertainment (DJKE) will not be held liable for any interruptions of services (Power failures, scheduled load shedding, water, sanitary services etc.) or any other cause beyond their control that will prevent DJKE from performing their obligation during the event.
The agreement of DJKE to perform is subject to proven detention by accidents, riots, strikes, epidemics, acts of God, or any other legitimate conditions beyond their control. If such circumstances arise the Client/s (C’s) shall receive a proportional refund as per clause 9 above.
It is understood that if this is a “Rain or Shine” event, DJKE compensation is in no way affected by inclement weather. For any outdoor performances, the C’s shall provide overhead shelter for setup area.
DJKE reserves the right, in good faith, to stop or cancel the performance should the weather pose a potential danger to him, the equipment, or audience.
Every effort will be made to continue the performance. However, safety is paramount in all decisions. DJKE compensation will not be affected by such cancellation.
DJ equipment and liability
The Client/s (C’s) shall be held liable for the cost of any repairs or replacement of the DJ equipment or related property of DJ Kev Entertainment, while on the premises of said engagement, if damage is caused with or without intent by C’s or guest/s, member/s of his/her organisation, engagement invitee/s, employee/s, or any other party in attendance, whether invited or not.
Should any of DJKE equipment be damaged, lost or stolen due to the above, or any other reasons, the C’s may not claim non-rendering of services, and will be held liable for any repairs or replacement of the equipment.
Furthermore, if DJKE’s equipment be in danger of being damaged, destroyed or stolen at any time whatsoever reason, DJKEV reserve the right to terminate or amend the rending of services. This is since the C’s remains responsible for all equipment at the venue.
DJKE reserve the right to terminate all sound operations if the power supply outlets provided do not meet our minimum requirements of standard voltage is 230 V and the standard frequency is 50 Hz. This is for safety reasons and to prevent damages to the DJ equipment.
Abuse of DJ and associate staff
In the event of circumstances deemed to present a threat or implied threat of injury, verbal abuse or harm to DJ and his assistant, DJ Kev Entertainment reserves the right to immediately cease performance. Should this clause apply NO refunds will be considered.
It should be noted that for safety reasons and to prevent damage to DJ equipment we reserve the right to terminate or amend the rendering of services. This is since the Client/s (C’s) remains responsible for all equipment at the venue.
Should the abuse clause be implemented, DJKE reserves the right to claim remuneration based on the actual number of hours worked or minimum number of hours (whichever is greater value) including any other related expenses incurred.
If the C’s can resolve the threatening situation in a reasonable amount of time (maximum of 15 minutes), the DJKE shall resume performance in accordance with the original terms of this agreement.
To prevent equipment damage or liability arising from accidental injury to any individual attending this performance, DJKE reserves the right to deny any guest access to the sound system, music recordings, or other equipment.
It should be noted that the above will only be considered as a last resort when all available avenues have been considered with no amicable outcome.
Music playlist and requests
With or without the aid of an event/music planner or music request list, the service provider shall attempt to play Client/s and guests’ music requests but shall not be held responsible if certain selections are unavailable.
Non-payment and legal proceedings
In the event of non-payment, by request DJ Kev Entertainment retains the right to attempt collection through the courts. The Client/s (C’s) will be held responsible for all court fees, legal fees, and collection costs incurred by the service provider.
By executing this contract as C’s, the person executing said contract, either individually, or as an agent or representative, represents and warrants that he or she is eighteen (18) years of age, and further, if executing said contract as agent or representative, that he or she has the authority to enter into an agreement and should he or she not have such authority, he or she personally accepts and assumes full responsibility and liability under the terms of the contract.
All attached riders are an integral part of the contract. The contract will supersede any other contract. If any part of the contract is illegal or unenforceable, the remaining provisions of the contract will remain valid and enforceable to both parties.
The contract contains the entire agreement between the Parties and no statement, promises, or inducements made by any party hereto, or agent or representative or either party hereto, which are not contained in this written contract, shall be valid or binding. The contract shall not be enlarged, modified, or altered except in writing by BOTH Parties and endorsed hereon.
C’s agrees to defend, indemnify, assume liability for and hold DJKE harmless from any claims, damages, losses, and expenses by or to any person, regardless of the basis, which pertains directly or indirectly to their performance. If a civil action arises to enforce any provision of this agreement, the losing party shall pay the Attorney’s fee and court costs of the prevailing party.
The C’s may not transfer the contract to another party without the prior written consent of DJKE. The agreement is not binding until signed by both C’s and DJKE. Any changes must be written and signed by BOTH the C’s and DJKE. Oral agreements are non-binding. If any clause in this agreement is found to be illegal, the rest of the agreement shall remain in force.
Dates and venues are not transferable meaning that a change in dates, timelines, package requirements and venues will warrant a new booking fee, quotation, and deposit to secure our services. This is also depending on DJKE availability. All changes as stated above must be in writing and consented to by DJKE.
DJKE may elect not to exercise their rights as specified in this agreement. By doing so, DJKE does not waive their right to exercise those options at a future date.
All Professional DJs are obliged to have a SAMRO and SAMPRA licences.
About the music.
As your DJ, we will compile your playlist based on your completed questionnaire.
This is completely up to you. If you give the us the go ahead before the event that we are allowed to accept requests, then we will do so at our discretion.
Our goal for the evening is similar to your goal for the evening to keep the party going. If we know a certain song will empty the dance floor then we will endeavour not to play that song.
Yes, we encourage all our clients to compile a MUST playlist consisting of 15-20 songs that will be played during the event and a DON’T song playlist that we won’t play during the event.

What to do if we are not available?
We might not always be available to sign up for your event. However, we have also partnered with a range of Professional Wedding DJs who also specialise in making Weddings, the BEST wedding you will ever attend.
Should you not use any of our partnered DJ’s please ensure that you follow the DJ Kevs tips to ensure a flawless and memorable event.
Yes, we continually update our client references and recommendations on our site from feedback received from our clients via E-mails, WhatsApp, Facebook, Google etc.
We do take non-professional photos and videos of the venue and events if you give us permission. We own the sole rights to these photos and will be having a DJ Kev Entertainment trademark on all photos for promotional purposes on our Website, Facebook, Instagram, Google or other 3rd parties websites/links.
If you suspect that your event will continue until well past midnight, then we recommend that you book overtime in advance.
Midnight rate fee will be applicable after midnight 24h00. The hourly rate must be paid in CASH to the DJKEV before 24h00. The C’s must make sure that your venue allows for additional hours after 24h00. Furthermore, DJKE will only perform till 02h00.
Later payments after the event for midnight and overtime will unfortunately not be considered. It may not always be possible to provide additional performance time and the midnight and overtime rates are at the discretion of DJKE and the venue management.
NO cheques will be accepted as payment for the midnight or overtime performance.
Accommodation of at least 3 stars with bed and breakfast will be required at the venue if additional performance hours will be required after 24h00.
In addition, clause 16, will also be applicable if the venue is more than 100 kilometers away from our base.
Should your venue be more than 3 hours’ drive away from our base then the DJ and his Assistant will require accommodation for two (2) nights, the night before the event and the night of your event.
The accommodation booking must be made and paid by Client/s and proof of such booking must be e-mailed to info@djkev.co.za before the event.
Depending on the package you chose, set-up can take anywhere from 2 hours to 4 hours. We require the parking close to the and the venue to be available for setup at least 2 to 4 hours before your event starts, to ensure that we have enough time to troubleshoot, should something go wrong. There are no additional charges for set up and take down of DJ equipment.
It is always best to be prepared. Most venues that we have performed at have backup generators in case of emergencies, but if your venue doesn’t have a generator or your venue will be experiencing load shedding then we can bring our own petrol generator at an extra costs.
We test all of our equipment once a month for defects. Other than that, we always have backup equipment onsite, should something go wrong. We endeavour to fix the problem within 15 – 20 minutes.
No, unfortunately we don’t hire out equipment.
